How to Rent Outdoor Equipment

Norwich students, faculty, and staff can easily rent outdoor gear by following these steps:

  1. Visit the rental shop — Stop by during open hours to browse available equipment.
  2. Complete a waiver — Required once per academic year before renting.
  3. Sign the rental agreement — Provide your contact details and sign for each rental.
  4. Pick up your gear — Our staff will assist you with your selection and finalize the rental.
  5. Return on time — Clean and return your equipment by the due date listed on your agreement.

Equipment Rental Policies and Guidelines

These rental policies outline the requirements for reserving, using, returning, and taking responsibility for equipment at the Shaw Outdoor Center, including identification, cleaning, late fees, and liability.

Reservations: Equipment is rented on a first-come, first-served basis. Norwich University (NU) organization/group rentals need to be requested two weeks in advance. Please email shawoc@norwich.edu. There is no cost for current NU students to rent equipment.

Required identification: Proper identification (student ID or driver’s license) must be presented to rent equipment.

Equipment returns: All equipment is due back 30 minutes before closing. No equipment will be considered returned until it is inspected. Plan accordingly and allow time for this inspection.

Late fee: Equipment returned past due will be subject to a daily late fee. For each day late, the renter will be charged the daily rates for the items rented.

Cleaning: Rental items must be clean when returned. A minimum $10 per item cleaning fee will be charged for equipment that must be cleaned.

Damage/loss: The renter is responsible for all costs of repair or replacement.

Helmets: Included with bicycle and sled rentals, and their use is strongly recommended.

Responsibility: It is the responsibility of the renter to know how to use the requested equipment. The renter may ask a staff member for clarification about the proper use of equipment; however, such an explanation is not a substitute for proper training from a certified instructor. It is the renter’s responsibility to check all equipment before leaving the Shaw Outdoor Center and to accept the equipment “as is.”

Liability: A rental agreement form must be signed to rent equipment. The renter agrees to pay for any damages or loss of equipment and also agrees not to hold the university, its employees, or the State of Vermont responsible for injuries, accidents, or other mishaps that may occur while using the equipment. By signing the rental agreement form, the renter certifies and acknowledges that they have read the equipment rental policies and procedures for the Outdoor Adventure Program and agree to abide by these guidelines.
